Admin Control Panel (ACP): Recording

Overview


There are multiple methods available in the Admin Control Panel (ACP) to record key moments for enhanced collaboration in your TODA Live room. Whether you want to capture the main room grid or focus on individual participants, we offer flexible options to meet your specific needs. 


Throughout this article, we will occasionally refer to the ‘Admin Control Panel’ as the "ACP" for convenience. Let's explore the various ways to record your room(s) in TODA Live! 


TODA TIP: When the icon is highlighted or in the "enable" state, 
it indicates that the recording is in progress. 

When the icon is grayed out or in the “disabled” state, recording is disabled.




Main Room (Grid) Recording 



  1. To start a Main Room recording, click the record icon located on the top right-hand side of the Participant Panel



The Main Room recording is automatically set to enabled, so if you only require the grid recording you don't need to take any additional steps.




Individual / Isolated (ISO) Recording



Creating individual recordings, especially in scenarios like interviews with multiple participants, can be beneficial. By capturing isolated videos of each participant, you create valuable references for future use. 



Individual Recording via Participant Panel

  1. Starting in the ACP, navigate to the Participant Panel, located at the top left-hand side of your window. You will see a list of all participants and their placement within the meeting room. Prior to recording, you’ll need to select the individuals that require isolated recordings.

  2. Click on the individual recording icon next to the participant's name to initiate the recording specifically for that participant - this will ensure their video and audio are captured in a separate file.


  3. To activate individual/isolated recordings, you will be required to click the record button located above the Participant Panel. This action is necessary to initiate both individual and main room recording. 
  4. Once the recording has started, you will see Recording in progress below the room ID. 


NOTE: Hosts can access the record feature in two ways: 
First, by locating it directly above the Participant Panel as mentioned above. 
Second, by finding it on the top left-hand side of your meeting room. 



Search Recordings 

Searching for recordings can be a quick way to find a particular file. To make it easier, you can search the following options:


  1. Locate the search bar, located toward the top left-hand side of the ACP.  
  2. To input your search query, simply click on the search bar and begin typing. 
  3. To clear your query, click the close button, located directly to the right of the search bar. 


Sort Recordings 

You can sort your recordings from new to old, large to small, and more. This feature enables you to quickly locate recordings based on your preferred sorting order.


  1. Locate and click the Default dropdown, located toward the top left-hand side of your window. 

  • A menu will appear presenting the system's default sorting options.

  1. Select the desired sort option that aligns with your needs. For instance, if you want to sort the list based on recordings by smallest file size, choose the Small to large option.



Now, your Rooms will arrange themselves based on your chosen sort criteria!



Download Recordings 

Downloading your TODA Room recordings is a simple process which you have multiple options to choose from. 


Let’s start by navigating to the Recording tab, located toward the top left-hand side of the ACP.



In the Recording tab, you can view the recordings that are in the following states: 


In Progress - Ongoing recordings that are not yet available for review. However, users can monitor the file data and view the types of recordings being captured in their current session.



AND


Complete - Recordings that are in the process of, or have finished the transcoding process and are ready to download.



Within Complete, you can conveniently download, rename, copy the recording link, or delete recordings through the menu available on the right-hand side of a folder of recordings or individual recordings within that folder. Simply locate the folder or individual recording, and access the menu to find the download option.  




OR


Underneath this tab, you will find three options in the form of checkboxes. Each will give additional options to download or delete your selected recordings. 



Folder: Encapsulates different types of recordings, such as the main room grid, participant and screen share, allowing for better organization and easy access to specific recordings.


Individual: Individual recordings within a folder. 


Select All: Selects all transcoded folders and individual recordings for you to then download or delete.


Once you’ve made your selection, a download icon will appear directly above In Progress. Click this icon to begin the downloading process to your device.




NOTE: If you encounter an error icon while transcoding your recording, it indicates that an issue has been detected during the process. As a result, some recordings may not be immediately available. In such cases, please reach out to our support team at help@lmmv.com or give us a call at 1-877-477-3728 for assistance.





Rename a Recording 

To rename a folder of recordings or an individual recording within that folder, continue with the following:


  1. Click on the menu icon located on the right-hand side of your selected recording(s). This will reveal a dropdown menu.                                                                                                                  
  2. Locate and click the Rename option.
  3. On the left-hand side of the recording, you will find a highlighted area to enter your preferred recording name.
  4. To finalize your changes, simply click outside of the recording selection.



Share a Recording

Share a recording with fellow participants or external individuals.


  1. To copy a recording link, click the menu icon located on the right-hand side of your selected recording. This will reveal a dropdown menu.
  2. Navigate and click the Copy recording link option.                                                                                    
  3. Once this is selected, an .MP4 copy of the recording link will be readily available for you to paste in a browser.



Delete Recordings

When it comes to deleting your TODA Room recordings, you have several straightforward options to choose from.


Start by navigating to the Recording tab, located at the top left-hand side of the Admin Control Panel.



In the Recording tab, you can view the recordings that are in the following states: 


In Progress - Ongoing recordings that have not yet completed the transcoding process. However, users can monitor the file data and view the types of recordings being captured in their current session.




AND


Complete - Recordings that are in the process of, or have finished the transcoding process.



 

NOTE: Transcoding ensures that your recording files are compatible with different devices for optimal playback quality. You'll see a progression bar during transcoding, and a checkmark indicating successful completion.




Within Complete, you can easily delete recordings through the menu available on the right-hand side of a recording.

Simply locate the folder or individual recording, and access the menu to find the Delete Recording option.  



OR


Underneath this tab, you will find three options in the form of checkboxes. Each will give additional options to delete your selected recordings. 


Once you’ve made your selection, a trash icon will appear directly above In Progress



Click the trash icon to delete a selected recording.  A dialog box will appear requesting you to confirm  or cancel your selection.



NOTE: Please note that once you delete the recording(s), they will be permanently removed and cannot be retrieved. Therefore, ensure that you are comfortable with this action before proceeding, as there is no way to recover deleted recordings.
