TODA Live Rooms: In-Room Features

Overview

You’ve successfully logged in to TODA Live and joined your first room - let's take some time to familiarize ourselves with the array of in-room features. Click around and explore all that the meeting room has to offer!

  


What is a Tile?


A Tile is the designated space within the meeting room in which each participant’s video feed is displayed. These tiles will typically feature the participant’s name, title, current audio status, and a Tile Menu with additional options. 


Tile Menu

  1. Hover over a particular participant’s tile to view the Tile Menu, located on the bottom right-hand side of each participant’s tile.



TODA TIP: Right-click on any participant's menu to view their tile menu. 


Tile Menu Options

Hosts have several options to choose from within the Tile Menu. Let's explore what's available:


(*) = Actions that are exclusive to Hosts and Co-hosts.


Mute

Locally mute unwanted noise from specific participants during your meeting. Doing so will only impact your own experience - other participants will be unaffected by this action.

  1. Click the Tile Menu of the participant you would like to mute.

  2. Select the Mute option.


  • Once selected, a red border will appear around the muted participant, along with an unmute icon. Simply utilize the unmute icon if you would like to hear audio from the muted participant.




Fullscreen

Expand and focus in on a participant's tile by selecting FullscreenThis option only takes up the entire screen of the user who activates this feature, without affecting other participants.


  1. Click the Tile Menu of a participant.


  1.  Select the Fullscreen option.



  • Once selected, the participant's tile will enlarge and fill the room.




To minimize the participant’s tilesimply return to the Title Menu and select the Exit Fullscreen option.




Private Chat

Private Chat is a feature that allows you to send direct and confidential messages to a fellow participant during a meeting. It provides a convenient space for side conversations, seeking assistance, or sharing private comments.


  1. Click the Tile Menu of a participant.

  2. Select the Private Chat option.

  • The chat panel will appear on the right-hand side of your window.



Remove

There are several reasons to consider removing a participant from your meeting room. From addressing disruptions, handling technical issues, to violating meeting guidelines. The option to remove a participant at any time is available. 


  1. Click the Tile Menu of a participant.

  2. Select the Remove option.



  3. You will then be prompted to Cancel or continue to Remove the participant.



If you opt to remove a participant, their tile will be taken down, and they will no longer be able to contribute to the meeting room.



NOTE: After a Host removes a participant, they will receive a notification instructing them to request a new invitation from the Host, if they wish to rejoin the room.




Make Co-Host*

Designate another participant as a Co-host. When you make someone a Co-host, they gain the same level of permissions as a Host. This means they can assist in facilitating the meeting.


NOTE: Only users with a TODA Live account have the ability to become Co-hosts. Therefore, Guests are not eligible to be promoted to this role.


  1. Click the Tile Menu of a participant.

  2. Select the Make Co-host option.


  • A dialogue box will appear to Cancel or respond Yes to your selection. 


  1. If you’ve chosen Yes, you will notice that the participant now carries the title of Co-host beneath their name within the Participants list.




Make Presenter*

By designating a participant a Presenter, their position will automatically ascend to the top of the participant list, making their names easier to locate. 


  1. Click the Tile Menu of a participant.

  2. Select the Make presenter option.

  1. Once selected, the participant will now carry the title of Presenter beneath their name within the Participants list.


Make Guest*

To switch a user from Co-host or Presenter back to a Participant, follow these straightforward steps:


  1. Click the Tile Menu of a participant.


  1. Select the Make guest option.

  • The user will automatically be reassigned as a participant, and will no longer have Co-host or Presenter privileges.



TODA TIP:
To turn Hosts, Presenters, and Guests back into Presenters, follow these steps: 

Head to the Participant tab in the Host Control Panel (HCP). Then, navigate to the menu next to the participants name, and select Make Participant. 
 



Apply Visual Effects


Create a distraction free environment by blurring your background. Adjust the blur intensity to your preference, ranging from a subtle effect to a more pronounced blur, or remove the blur background entirely. What your fellow participants see in your virtual environment is TODAlly up to you!


Blur Effect

  1. Start by clicking the Apply Visual Effects button, situated at the bottom left of your meeting room. 


  • Additional options will appear above this icon.


  1. Next, click the background effect you would like to use from the available options. 

    1. No Blur

  1. Subtle Blur

  1. Pronounced Blur




Background Effects

Upload your own images as background for your video tile!

  1. Start by clicking the Apply Visual Effects button, situated at the bottom left of your meeting room. 



  2. Additional options will appear above this icon.

  3. Under Backgrounds, either add a new image from your device by clicking the button.


  4. Next, drag and drop or browse files on your device to upload.


    Once an image is added, you will have the option to choose it for the current, or future meetings. 


OR 

Select a previously added image to display as your virtual background.


Once you select an image, it will be automatically applied.

 


TODA TIP: Access the Apply Visual Effects feature in the Lobby of your meeting room. Easily customize your background before you enter the room. 



Whiteboard

In TODA Live, whiteboarding refers to the practice of virtually illustrating concepts, ideas, or solutions to problems. It can be used during meetings, presentations, to help attendees understand complex topics, collaborate on projects, annotate media, sketch diagrams, or write notes–just to name a few use cases. Let’s dive in and explore what you can do with our Whiteboard feature. 

  1. Locate the Whiteboard icon at the bottom-center of your room.



  2. Click the Whiteboard icon to start collaborating with other attendees. Click the icon again to collapse the Whiteboard and bring you back to your original meeting room view.  




Toolbar

The toolbar is the gateway to an alternative way of interacting with other attendees. All attendees will be able to see any activity on the Whiteboard in real time. 


TODA TIP: Click the “Toolbar” icon to hide it from the Whiteboard view, located on the bottom-center of your room,  to the left of your “Whiteboard” icon. 


  1. To help you illustrate your ideas and enhance your meeting experience, there are several tools available on the  left-hand side of your window. These tools allow you to do the following:



Color

Choose a unique color for your pen or text.


  1. Click the Color icon to select from a few colors we’ve curated for you.  A row of colors to choose from will appear to the right of the Color icon. 




Pen

Draw or write on the Whiteboard using the selected color. 


  1. Click the Pen icon to start drawing capabilities. A row of additional options will appear to the right of the Pen icon.

  2. Now, you have two pen options to choose from in the dropdown.


    Permanent: Markings that will leave the Whiteboard only when it has been erased or the Whiteboard has been reset. 


            OR


    Auto-Fade: Markings will be seen by attendees, for about 5 seconds, before it fades from the  Whiteboard and is no longer visible.


  3. Next, you may adjust the thickness of your pen to your liking by selecting from the available options to the right of your pen tool.






Eraser

If you need to remove any marks or text you’ve made on the Whiteboard, simply use the Eraser tool

  1. Click the Eraser icon to enable erasing capabilities.
     


  2. Click on the portion of the Whiteboard you would like to remove from the board. 

 


Text

Add text to the Whiteboard using the selected color. 


  1. Click the Text icon to reveal additional features. You’ll have the option to change the font type, size, and formatting with this selection.

  2. Using your cursor, click a space on an area of the whiteboard to add the text box. 

  3. Select and drag the text box to the desired location and size. Then, release the cursor to place the text box. 



  4. Finally, click a space within the text box you've created to begin typing. 





Background

Change up your background, from a blank white background to a chalkboard.


  1. Click the Background icon. A small window will appear with two options. 




The No Background icon is used if you want to keep it simple and collaborate with attendees as if you were using a physical Whiteboard. 





OR


Chalkboard Background allows attendees to use the same features as No Background, but it will appear as if you were collaborating on an old school chalkboard. 






Backgrounds can be used in a similar fashion. Add text, or draw directly on your board using your computer mouse, or another connected drawing device. 



Upload an Image

Need to mark up an image to illustrate your ideas? Simply upload the image and use the available tools to annotate or highlight important points.


  1. Click the Upload icon

    A small window will appear prompting you to upload your image. Depending on your preference, you have the following options:


    Drag and drop a file directly to the designated section from your device. 


    OR


    Browse Files on your device to search for the file you would like to upload to the Whiteboard. 



  2. Once you’ve selected your photo, you will be asked to adjust the view of the image selection.

    Drag Image Selection: Within this window, click and drag the image selection to the area of the board you’d like it to be anchored. 





    AND/OR


    Zoom In/OutClick and drag the Zoom toggle left to minimize and right to maximize the image you’ve selected.



  3. Click the Save button if you’re satisfied with your selection and adjustments, or click the Cancel button when prompted to undo your selections.

  4. If you’ve chosen the Save button, your image will be added to the Whiteboard and visible to all attendees. 



Screengrab

Want to keep a copy of your fully executed Whiteboard? Save your Whiteboard directly to your device or in your in-room Media Folder. Here’s how: 


NOTE: At this time, it is only possible to capture photos using the screengrab feature. Video capture is not currently supported. 


  1. Click the Screen Grab icon. You will be met with two options:





Save a screengrab of your Whiteboard directly to your device, by clicking the monitor icon. 





Check your downloads folder on your device for an image copy of your Whiteboard.


OR


        2. Save a screengrab of your Whiteboard to your Media Folder, by clicking the folder icon.




Check your Media Folder for an image copy of your Whiteboard.


Reset

Not satisfied with the markup that is currently on the Whiteboard? That is not a problem!


  1. Click the Reset icon to completely erase all markings and text and start from scratch.


    


NOTE: Images will not be removed from the Whiteboard when selecting this tool. 



Share Screen

Leverage Share Screen features such as the Streaming Media tab for 4K live streaming, or opt for the Screen Share tab for simpler processes like presenting documents and presentations during team meetings.  


  1. Click the Share Screen icon, located at the bottom-center of your room. A dropdown window will appear at the top of your browser window. 


  2. Once you’ve made your selection, click the Share button, located at the bottom-right side of the dropdown. Or, if you’ve changed your mind click the Cancel button to return to your Whiteboard.





Chat

Communicate with other attendees in the room, see who's visible in the meeting, and check out files that have been uploaded in the Chat panel


  1. Click the Chat icon, located at the bottom center of your room. The chat panel will appear on the right-hand side. Click the icon again or click the x in the upper right corner of the Chat to collapse the panel. 




Room

Here you have the ability to type, format text, and attach files. Communication within the chat room will be visible to all attendees.




TODA TIP: To add a new line within the chat, simply hold Shift and press Enter. This will allow you to create a new line without sending the message.



Uploading Files

The number of files you can upload depends on your license type. Keep in mind that each file must not exceed 10 gigabytes in size.



NOTE:  Once files are sent in the chat, they cannot be deleted. Therefore, please ensure that you only send the intended attachments and double-check before sending. 

        


Download Files

Quickly download files from the chat and save them directly to your device.





Presenting Files

With just one click, you can upload and share files with your fellow attendees through the chat feature. As a Host or Participant, TODA makes it simple to share any file you need during your meeting or presentation.

        

NOTE:  The one-click present feature is exclusively available to Hosts & Co-Hosts, 
for video files. However, both Hosts and Participants can use this feature 
for other types of files (ie. pictures and pdf’s).  




Attendees that are visible to the room will be listed under the Individual tab


TODA TIP: Need to sidebar with another individual? Click on an attendees name to start a private chat (these messages will not be visible to other attendees). 




Files

Media Files can be found under the Filetab. Files shared in the main chat room can be found under this section and seen by other attendees. 





Dock/Undock

Minimize the Chat panel by selecting the Undock icon, located at the top right-hand side of the Chat panel




Once this icon is selected, the Chat panel will be minimized and mobile. Click and drag the top bar of the Chat panel to move the panel anywhere within your room view. 



Reactions

Use Reactions such as Hand Raise or pick from a variety of emojis to add some colorful visual commentary.




Hand Raise


  1.  Locate the Hand Raise reaction, located at the top of your Reactions menu.


  2. Click the Hand Raise reaction to signal to the meeting host that you would like to make a comment or ask a question. A Hand Raise emoji will automatically appear at the top right corner of your video box.




        

NOTE:  In situations where multiple users have raised their hands, a number will be displayed next to their icon on the tile, indicating the order in which they raised their hands. This helps to ensure that questions and comments 
are addressed in the order they were received.





Recording a Room

  1. Click the Start Recording icon, located at the top left corner of your room.



  2. Once this icon is selected, the room will automatically start recording, and the text to the right of the icon will show as Recording In Progress. 



  3. Click the Record icon once more to stop recording. A checkmark and text will appear, indicating the session was successfully recorded. 




Where are my Recordings?

After a meeting has ended, recordings can be found in the room control panel on the Homepage. These recordings are available for download to all users. It may take up to 10 minutes for the recording to appear, depending on the length of the meeting. Here are the steps to take to view your recordings:


  1. Open your browser to connect.todalive.com to view your Homepage. 

  2. Click the meeting room you’d like to view. A room control panel on the right-hand side of your screen will appear.


  3. Click the Record icon, located on the top left-hand side of your room control panel. 
     


  4. You may now sort, search, and download the session recordings. 




Timer

Located at the top center of your room, the Timer displays the amount of time that has elapsed since the Room session began. This feature cannot be modified. 



Maximize or Minimize Room

Change the view of your meeting room seamlessly by following these steps: 


1. Click the Fullscreen icon, located at the top right corner of your room. By selecting this feature, the desktop your         TODA Live room is located will be the only thing that is visible on your screen. 


2. To revert your window back to its original size, click the Minimize icon, located at the top right corner of your enlarged room. 



Closing vs. Leaving a Room

Ready to head out? On the bottom right hand corner of your room, locate the Leave Room icon. Click either of the available options to proceed back to the TODA Live Lobby.





Close a Room: (Available to Hosts Only) Closing a room means the meeting will end for all attendees and remove them from the session.


Leave a Room: (Available to all Attendees) Leaving a room allows individual attendees to exit the meeting while other attendees continue to remain in the session.
