Overview
As a Host, you can set up breakout rooms either during a live TODA call or ahead of time. Here's a quick guide on how to add breakout rooms right from the Host Control Panel (HCP).
Create a Breakout Room
Starting from the HCP, click the Rooms tab, located at the top left-hand side of the panel.
You’ll notice a room labeled 'Main' is already listed. This is the room you’re currently in, and it cannot be renamed.
To add your first breakout room click the plus icon, located above the “Main” breakout room.
The number of participants in each room is displayed to the right of the corresponding room name.
As a Host, you can jump in and out of different breakout rooms. To do this, simply select the breakout room you would like to visit.
Each time you switch to a different breakout room, you will receive the following notification, located at the bottom of the HCP.
NOTE: When visiting different breakout rooms, you will automatically be set to “Hidden”, meaning that your tile will be invisible to participants until you select the Enter Room icon.
Rename a Breakout Room
Easily personalize the name of a breakout room by following these straightforward steps:
Locate and click the breakout room you would like to rename.
Next, click the menu icon, located to the right of the corresponding breakout room.
A menu will appear below with the option to rename the breakout room.
Select the Rename option.
Now, you may enter your preferred room name.
To finalize your changes, simply click the check, located directly to the right of the new room name. Or to cancel your changes, select the x icon.
Delete a Breakout Room
If you’ve accidentally created a breakout room or simply don't need one any longer, continue with the following steps:
Within the HCP Rooms tab, click the menu icon, located to the right of the corresponding breakout room you would like to remove from the meeting.
A menu will appear below, with an option to delete the breakout room.
NOTE: Ensure you avoid clicking on the breakout room you want to delete. As a Host, clicking on a room will automatically place you inside it, and you won't have the option to delete it while actively participating or the room is still active.
Select the Delete Room option.
You will then be prompted to confirm your selection. Select Delete to move forward, or Cancel to keep your breakout room.
A notification will appear at the bottom of the HCP confirming a successful deletion.
Rearrange Participants Within a Breakout Room
Start from the HCP Rooms tab.
On the bottom left-hand corner of the panel select the position icon.
Once this icon is selected, it will illuminate, indicating that it has been activated and you may now rearrange participants.
Next, choose the user(s) you would like to move.
Drag and drop the selected user(s) into the preferred breakout room.
Once they've been added, you will be prompted to cancel or confirm the change.
